PHASE 1: PREPARATION
1. Schedule the Exit Interview
Arrange a meeting before the employee’s last working day. Offer a comfortable and private setting.
2. Prepare Relevant Questions
Use a set of questions covering job satisfaction, reasons for leaving, and suggestions for improvement.
PHASE 2: INTERVIEW PROCESS
3. Conduct the Interview
Create a respectful and open conversation. Encourage honest feedback without fear of consequences.
4. Ask Key Questions:
- Why are you leaving?
- What did you enjoy most about your role?
- What could have made your experience better?
- How do you feel about management and team dynamics?
5. Listen Actively
Let the employee speak freely. Avoid interrupting or defending company practices.
PHASE 3: INSIGHTS COLLECTION AND ANALYSIS
6. Document Key Insights
Take notes or record key points (with the employee’s consent).
Focus on actionable feedback and recurring themes.
7. Analyze Feedback
Use AI Assistant to Identify patterns or areas needing improvement (e.g., workload, leadership, or team dynamics).
PHASE 4: ACTION AND FOLLOW UP
8. Share Insights
Present summarized feedback to leadership while maintaining employee anonymity. Suggest actionable improvements based on findings.
9. Take Action on Findings
Implement process changes, update policies, or provide additional training based on feedback.
10. Follow Up on Changes
Regularly review if implemented changes have improved the workplace.
Conduct employee satisfaction surveys to track progress.
